Legacy uFiling Migration to UIF Online (2026): What South African Employers Need to Know

Author: Julandie Swart (UIF Specialists)

The South African Department of Employment and Labour is currently migrating the legacy uFiling Employer Services platform to UIF Online.

Many employers, domestic employers and tax practitioners are asking the same questions:

  • Is uFiling shutting down?
  • Can I still submit declarations?
  • Why is the "Calculate Declarations" function timing out?
  • What should I do before the migration is complete?

This guide explains what has changed, what remains available, and the practical steps employers should take while the migration is underway.

***

Quick Summary

The legacy Employee Claims Portal closed on 20 May 2026.

All new unemployment, maternity, illness and parental benefit applications must now be submitted through UIF Online.

The Employer Services Portal is currently being migrated to UIF Online and is expected to be completed by the end of August 2026.

During the migration period, employers may experience slower system performance, declaration grid delays and "Calculate Declarations" timeout errors.

Migration Timeline

Phase 1 – Employee Claims Migration (Completed)

Completed: 20 May 2026

The legacy uFiling Employee Claims Portal has officially closed.

All new applications for:

  • Unemployment Benefits
  • Maternity Benefits
  • Illness Benefits
  • Parental Benefits

must now be submitted through UIF Online.

From our experience, the new claims platform is performing significantly better than the legacy system, with faster approvals, rejections and payment processing. Historical legacy claims are still being processed through the Department's back-end systems.

Phase 2 – Employer Services Migration (In Progress)

Expected Completion: End of August 2026

The Department is currently migrating Employer Services from the legacy uFiling platform to UIF Online.

This includes:

  • Employer Registrations
  • Monthly Employee Declarations
  • Contribution Payments
  • Employer Administration

Until the migration is complete, the legacy Employer Portal remains operational but may experience intermittent performance issues as data is migrated to the new environment.

Why is "Calculate Declarations" Timing Out?

Many employers are reporting timeout errors when selecting Calculate Declarations.

Based on our experience, this is largely due to heavy server congestion and ongoing database migration activities.

When loading declaration grids or historical employee records, allow additional processing time and avoid refreshing your browser unnecessarily, as this may restart the loading process.

Practical Action Steps for Employers

Allow Additional Processing Time

Historical declaration grids may take longer than usual to load while the migration is in progress.

Avoid repeatedly refreshing your browser while waiting for declaration information to populate.

Use Manual UI-19 Submissions if Required

If the system prevents you from validating a new employee profile or submitting a mandatory declaration, complete a manual UI-19 and email it directly to:

declarations@labour.gov.za

This helps ensure your employee records remain up to date while the online system is under heavy load.
